Cadences: timed candidate email sequences

Enrol a candidate once and a sequence of emails goes out on your schedule — stopping by itself the moment they reply or move stage.

A cadenceis a short, timed sequence of emails — for example “offer sent” → reminder after 3 days → final nudge after 7. You write the steps once; Edjobster sends them to each enrolled candidate at the offsets you set, and stops automatically when the candidate does the thing the cadence was chasing.

Cadences never send on their own: a candidate has to be enrolled, either by you from their page or by a trigger you switch on (a stage entry, an offer going out, a document request). Every send is logged on the candidate’s page.

Before you start

  • You are a workspace admin (cadences live under Hiring tools → Cadences).
  • Email sending is set up — either the Edjobster default address or your verified sending domain.

Setup steps

Start from a starter or a blank cadence

Open Cadences and click New cadence. Six starters are pre-filled for the common chases (offer acceptance, document collection, interview booking, hiring-manager feedback, scorecard, re-engagement) — duplicate one and edit, or start blank.

Add steps with offsets

Each step is one email with a delay from the previous step (in hours — 72 is three days). Step 1 sends at its offset after enrolment. Subjects and bodies can use {{candidate_first_name}}, {{job_title}} and {{tenant_name}}; they fill in per candidate at send time.
Three steps over a week is the sweet spot. Longer sequences read as spam and rarely change the outcome.

Decide when it stops

Every cadence has a stop condition— the thing you’re chasing. When the candidate replies, accepts the offer, uploads the documents, books the interview, or moves to a later stage, remaining steps are cancelled. You can also stop an enrolment by hand from the candidate’s page.

Choose how candidates get enrolled

Manually: on a candidate’s page, open the application card → CadencesEnrol. Automatically: switch on a trigger on the cadence — stage entered (e.g. every candidate moved to Shortlisted), offer sent, or documents requested. Triggers only fire on actions taken in Edjobster, never on a connector sync — a backfill can’t mass-email anyone.
A trigger enrols every matching candidate from that moment on. Test a new cadence by enrolling one candidate manually before switching a trigger on.

Watch it run

The candidate’s page shows each enrolment with the next send time, what has gone out, and why it stopped. The Cadences page shows active enrolments per cadence. Replies land in your connected inbox like any other email.

Verify it worked

Enrol one test candidate manually: the application card shows the enrolment with its next send time, the first step arrives at the offset you set, and moving the candidate to the cadence's stop stage cancels the rest.

Troubleshooting

The candidate never received step 1.

Check the enrolment on the candidate’s page — it shows the scheduled time and any send error. Sends go out from the background worker, so a step scheduled for 10:00 arrives within a few minutes of 10:00, not on the second.

A cadence kept emailing after the candidate replied.

Replies stop a cadence only when they arrive in a connected inbox Edjobster watches. If the candidate replied to a personal mailbox, stop the enrolment by hand.

I turned on a trigger and nothing enrolled.

Triggers fire on future actions only — existing candidates already at that stage are not enrolled retroactively. Enrol them manually if needed.
